Ready, Set, and Grow—Spring into Action: A Fresh Approach to Outdoor Author Events!

Make your next outdoor author event one to remember!

Can you smell it in the air? Yes, spring is here! It’s time for warmer weather, longer days, and plenty of outdoor opportunities—especially for authors. From book festivals to outdoor markets, there are so many events where you can showcase and sell your book. Whether you’re a first-time author applying for your very first event or a seasoned pro heading into your twentieth, thoughtful preparation can make all the difference. Planning will not only enhance your experience but also leave a lasting impression.

It’s important to set your expectations before you arrive at your event. Ask yourself: “Is my goal to sell a certain number of books? Am I hoping to connect with fellow authors? Do I want to learn from others' displays and presentations? Is my main focus to grow my email list by engaging with as many people as possible?” If you're thinking, I want all of that! I suggest choosing one or two main goals to help you stay realistic and focused. Knowing your purpose will guide how you set up your booth/table, what materials to bring, and how you engage with attendees.

Also, be sure to ask the event organizer these key questions in advance:

  • Is the event outdoors or under a tent?

  • What is plan B if it rains?

  • How much space will I have? Am I sharing a table with another author?

  • Will there be access to power or Wi-Fi?

  • Are tables and chairs provided?

  • What’s the expected foot traffic?

  • Do I handle my own sales?

The more prepared you are, the better your experience will be—and the happier you’ll feel at the end of the day.

Your table is the first thing people will see—make it count! Create a space that feels welcoming, neat, and clutter-free. Brighten things up with a floral tablecloth, use colors that match your book’s branding, and neatly display your items. You might even consider adding a candle or scent that aligns with your book’s vibe—people are often drawn in by scents. A bold, eye-catching banner is another great way to get noticed.

Here are a few display tips:

  • Use bookstands or crates to add height and create layers.

  • Display your books at an angle so they’re easy to see—avoid laying them flat.

  • Include a clear sign with your name, book title, cover image, and a short tagline from your book or its message.

  • Bring business cards, bookmarks, or postcards for those who are interested but not quite ready to buy.

  • Consider offering a giveaway or raffle to collect email addresses—just be sure it’s allowed by the organizer.

And don’t forget to pack tape, scissors, pens for writing and autographs, a sign-up sheet, a flyer detailing how to pay, snacks, and plenty of water for yourself.
